Privacy Policy

This privacy policy explains what Coetz™ collects when you browse, order, request a quote or apply for a trade account on coetzglazing.co.za, why we hold it, who else sees it, and how to have it corrected or deleted. It is written for the Protection of Personal Information Act, 2013 (POPIA), and describes this website as it actually works. Last reviewed 18 October 2026.

1. Who we are

Responsible party: MC Automations (Pty) Ltd, registration number 2017/303441/07, trading as Coetz™.
Unit 2, 84 Ridge Road, Laser Park, Roodepoort, Johannesburg, 2040, South Africa.
+27 10 412 0062 · sales@coetzglazing.co.za

Information Officer: Marcel Coetzee — sales@coetzglazing.co.za. Requests, corrections and complaints should go to this address.

The same company trades as MC Automations Entrance Systems, which runs a separate website with its own policy.

2. What we collect

When you order

Your name, email address, telephone number, delivery address and the details of what you ordered. Payment is taken by our payment provider — we never see or store your card or banking details.

When you request a quote or a trade account

Your name and contact details, the sizes and configurations you are pricing, and for trade applications the business details you choose to give us.

When you just browse

Standard web-server request data: IP address, browser and device type, the page requested, the date and time and the referring page. Plus the cookies set out in our Cookie Policy. Some run only if you agree; others, such as Jetpack Stats page counts and the shop’s order-attribution cookies, load with the page.

We do not collect identity numbers anywhere on this site.

3. Why we use it, and our lawful basis

  • To take and fulfil your order — necessary to perform the contract you entered into.
  • To quote and to assess trade applications — necessary to take steps at your request before a contract.
  • To keep records of orders, quotes and warranties — our legitimate interest and, for transaction records, a legal obligation. Aluminium is made to your sizes; the order record is what a warranty claim is checked against.
  • To keep the shop working and free of abuse — our legitimate interest.
  • Marketing email — consent. We email you only if you opted in, and every message has an unsubscribe link.
  • Reviews — consent, given with the tick-box on the review form. The single review-request email after a completed order is our legitimate interest.
  • Installer list — consent, given with the tick-box on the application form.
  • Analytics and advertising measurement — consent, given through the cookie banner and withdrawable at any time. Page-view totals from Jetpack Stats are our legitimate interest and set no cookie.

We do not sell or rent personal information, and we do not use it for automated decision-making or profiling.

4. Who we share it with

  • Payment providers — to take payment securely. They receive what they need to process the transaction; we receive confirmation, not your card details.
  • Delivery couriers — your name, delivery address and contact number, so the goods reach you.
  • Google — analytics and advertising measurement, and our product feed, once you have consented.
  • Automattic — Jetpack and Jetpack Stats, which host and measure parts of the site.
  • MailPoet and AutomateWoo — our email and order-follow-up tools.
  • 3CX — our live chat provider, if you start a chat with us.
  • Anthropic — provides the AI model behind our chat assistant (see “The Coetz™ chat assistant”).
  • Google Translate — our website translator, only if you choose another language from the language menu.
  • Our hosting provider — stores the site and its server logs.
  • Professional advisers and authorities — only where the law requires it.

Several of these operate outside South Africa, so your information may be processed in other countries. POPIA permits this where the recipient is subject to comparable protection, or where the transfer is necessary to perform the contract you asked for.

5. How long we keep it

  • Orders and invoices — for the periods South African tax and company law require.
  • Quotes and trade applications — while they are live and for a reasonable period afterwards, because people often return to a quote.
  • Warranty records — for as long as the warranty on the product could still be claimed.
  • Marketing subscriptions — until you unsubscribe.
  • Chat assistant record — 90 days, with email addresses and phone numbers removed.
  • Reviews — while the review is published, or until you ask us to remove it.
  • Installer applications and listings — while the listing is live, or until you ask us to remove it; applications we do not approve are deleted.
  • Server logs — a short rolling cycle at our host, then overwritten.
  • Your cookie choice — six months, or until you clear your browser.

6. Your rights under POPIA

At no charge, you may ask us to:

  • confirm whether we hold personal information about you, and tell you what it is;
  • correct anything wrong or out of date;
  • delete information we no longer have a reason to keep;
  • stop processing you object to, on reasonable grounds;
  • stop sending you marketing email, at any time;
  • withdraw consent for analytics and advertising cookies — the Cookie settings link does this in one click.

Send requests to sales@coetzglazing.co.za. We may ask you to confirm who you are first, so that we do not hand someone else’s information to the wrong person. If you are not satisfied with how we handle it, you may complain to the Information Regulator of South Africa.

7. Changes to this policy

We update this policy when the site changes — a new payment method, a new measurement tag, a tool dropped. Where a change alters what we do with your information rather than how we describe it, we reset the cookie banner so you are asked again rather than carried over on an old answer. Nothing here narrows the rights POPIA gives you; where the two disagree, the Act wins.

Our privacy policy in plain language

Privacy policy: at a glance

The numbered sections above are the formal privacy policy. This summary puts the main points in plain language. If the summary and the formal text ever differ, the formal text applies.

  • We collect what we need to sell and deliver to you: your contact details, delivery address and order details, plus the sizes and project details you send for a quote.
  • We use it to process your order, answer your questions, arrange delivery or collection, handle warranty claims and, if you agree, send you emails.
  • We share it only with the services that run the shop, such as payment processing, delivery, email and hosting, and never sell it.
  • You can ask us what we hold about you, ask us to correct it, or ask us to delete it where the law allows.
  • Analytics and advertising cookies run only if you choose Accept all on the cookie banner. Our cookie policy lists every cookie.

The Coetz™ chat assistant

Privacy policy: chat assistant

Our website has a chat assistant that answers questions about our products, prices and services. This privacy policy covers it as follows:

  • What is sent. When you send a message, our server passes your recent messages (up to the last 12 in the conversation), and any photo you choose to attach, to Anthropic, the provider of the AI model, so that it can write a reply. Anthropic processes this information in the United States.
  • What we keep. We keep a record of the questions asked and the answers given for 90 days, so that we can check the quality of the answers and add missing information to our website. Email addresses and telephone numbers typed into the chat are removed from this record automatically. Our team receives a weekly summary of it.
  • Order look-ups. If you ask about an order, the assistant asks for your order number and the email address you used at checkout, and shows the order’s status only when both match. It never shows addresses or payment details.
  • What is kept on your device. The conversation is held in your browser’s session storage, so it survives moving between pages, and is cleared when you close the tab.
  • Abuse protection. Our server keeps a count of messages from each IP address for one hour, to stop the assistant being misused.
  • Please do not share sensitive information in the chat, such as ID numbers or payment details. For anything about a specific order, call 010 412 0062 or WhatsApp 076 613 4418.

Booking a call-out online

When you book an automatic door call-out, we collect your contact details, the site address and a description of the fault, so that a technician can be sent. To work out the travel distance from our Laser Park workshop, the address you type is looked up using OpenStreetMap’s address search services, and the map on the form loads from OpenStreetMap. The address is used to plan the call-out and to calculate the fee.

Other services your browser connects to

Some parts of the site load content from other providers. When that happens, the provider receives your IP address and basic browser information, as with any web request:

  • Open-Meteo supplies the Johannesburg weather in the top bar.
  • Google Fonts and the cdnjs network supply some fonts and code libraries.
  • OpenStreetMap supplies the map and address search on the call-out booking form.
  • Google Translate runs only if you choose a language other than English from the language menu. The text of the page is then sent to Google to be translated, and a cookie (googtrans) remembers your choice. Prices, product codes, the chat assistant and your account, cart and checkout pages are not translated.

These providers do not receive your name, email address or order details from us.

Reviews

When you write a review on our website we collect your name, email address and star rating, your review, and, if you choose to give them, your town, what you bought and your order number. We publish your first name, the first letter of your surname, your town, your rating, your review and what you bought. We never publish your email address. We use it only to check the review and, if needed, to contact you about it. If the order number you give matches your email address, the review shows a “Verified buyer” badge.

Every review is read before it is published. We publish reviews as written and do not edit them; we may decline a review that is abusive, unrelated to our products or service, or contains someone’s personal information. You can ask us at any time to remove your review, and we keep it only while it is published.

Review request. About five days after an order is completed we send one email asking how we did, with links to review us on Google or on our website. It is a single email for that order, with no reminders, and it contains no advertising.

Online estimator

The online estimator works in your browser. The windows and doors you add to a project list are saved in your own browser until you clear them, and price schedules are created as PDFs on your device. If you send a project list to us, we receive your name, contact details and the list, and keep it as a quote request in the same way as other quotes.

Installer list

Installers can apply to be listed on our aluminium window installers page. When you apply we collect your company name, contact person, phone number, email address, the areas you serve, the services you offer, your years of experience, your website and any notes you add. We use these details to review your application and to contact you about it.

Nothing is published until we approve the application. Once approved, we show your company name, areas, services, phone number and website on that page, so customers can contact you directly. We never publish your email address, contact person or notes. You can ask us at any time to correct your listing or remove it, and we delete an application we do not approve.

How we keep your information safe

Privacy policy: keeping data safe

We protect personal information with reasonable technical and organisational measures. The site is served only over an encrypted connection (HTTPS). Payments are processed by the payment provider at checkout, and we do not store full card numbers. Access to orders and customer records is limited to the staff who need it to serve you.

No system is completely secure. If we become aware of a breach that affects your personal information, we will notify you and the Information Regulator as POPIA requires.

Privacy policy: common questions

Privacy policy: popia rights

Do you sell my personal information?

No. We use it to sell and deliver our products and to support you afterwards. We do not sell it or rent it to anyone.

How do I stop marketing emails?

Use the unsubscribe link at the bottom of any marketing email, or email sales@coetzglazing.co.za. Order and delivery emails will still be sent, because they are part of processing your order.

How do I ask what information you hold about me?

Email our Information Officer at sales@coetzglazing.co.za with your request. We may ask you to confirm your identity before we release personal information.

Where can I complain if I am not happy?

Contact us first and we will try to resolve it. You also have the right to lodge a complaint with the Information Regulator, South Africa’s privacy authority.
